The American Chamber of Commerce in the Netherlands (AmCham) is seeking a dynamic and highly organized Office Manager to join our team in Amsterdam. 

AmCham is a leading platform for U.S. business interests in the Netherlands, representing approximately 350 international companies – including many Fortune 500 firms and globally recognized brands such as Google, Microsoft, Netflix, Nike, Coca-Cola, Hilton, Marriott, Delta Air Lines, Heineken, and Unilever. As an influential advocate for the American and international business community, AmCham organizes high-level networking events, provides strategic advocacy, and hosts a vibrant Young Professionals Program.

This is an exciting opportunity to play a central role in the smooth running of our operations and events, working closely with senior executives and international stakeholders.

Position Overview

As Office Manager, you will be the key operational and administrative support for AmCham, ensuring the seamless execution of our day-to-day activities. You will serve as the central point of contact for administrative tasks, facilities management, communications, and event logistics – helping the organization deliver value to its members. In our small team, a willingness to share workload with colleagues is important. 

The position is part-time for 90% (36 hours per week) with flexibility to work remotely a few days per week in combination with a minimum of 2 working days per week at the office. 

Key Responsibilities

Administrative Support

  • Process event registrations, including table reservations.
  • Handle incoming invoices (coding, sorting, forwarding to accountant).
  • Manage membership updates and changes.
  • Follow up with members regarding vacant seats and outstanding invoices.
  • Monitor and respond to the office mailbox.
  • Assist with scheduling meetings and maintaining the office calendar.

Facilities Management

  • Maintain office supplies (including food & beverage stock).
  • Ensure the office remains tidy, organized, and presentable.
  • Oversee maintenance and liaise with suppliers as needed.

Event Logistics

  • Coordinate logistical preparation for events, including on-site setup, execution, and takedown; this will require driving by car to event locations ahead of the event.
  • Manage guest registration at events.
  • Support AmCham Management with event-related tasks (e.g., drafting event scripts, liaising with venues and suppliers).

Communications

  • Prepare and distribute event invitations and confirmations.
  • Draft and coordinate newsletters.
  • Keep the AmCham website up to date.
  • Administer and monitor tickets to maintain AmCham’s customized applications (CRM and website) under supervision of the management team.
  • Work with designers on promotional materials, stationery, and the AmCham brochure.

  • Strong organizational and multitasking skills, with attention to detail – even under pressure.
  • Excellent interpersonal and communication skills; polite and professional demeanor.
  • Strong writing skills in both Dutch and English (fluency required).
  • Flexibility to work occasionally outside regular office hours during events.
  • Technological proficiency, including Microsoft Office and customized applications / CRM.
  • Ability to drive by car to events; driver’s license required.
